A/V Equipment Loan

Service Description

Classroom Equipment Loan is able to provide event or instruction-related A/V equipment for on campus use. Hours available for pickup and return of equipment are 8am to 2pm on weekdays.

Standard Features

  1. User places equipment request.
  2. Classroom Equipment Loan reviews the request and may ask for clarification if needed.
  3. (If denied) Classroom Equipment Loan will provide a reason for denial and possible alternative options.
  4. (If approved) Classroom Equipment Loan will confirm the booking of the equipment request with the user. 
  5. Classroom Equipment Loan will prepare equipment for pickup on date requested.
  6. User picks up equipment.
  7. (At end of loan duration) User returns equipment.

Optional Features

Classroom Equipment Loan staff also offer consultation services to assist users with choosing the appropriate equipment.

Roles and Responsibilities

User Responsibilities: 

  • Request equipment (and/or training for said equipment) at least one business day in advance.
  • Pick up equipment from Bulger 204 or other space designated in loan agreement.
  • Provide appropriate identification (Buffalo State ID preferred) to Classroom Equipment Loan staff, if requested.
  • Store equipment in a secure location (for overnight loans).
  • Return equipment to appropriate space on time.
  • In the event of a cancellation, user must inform Classroom Equipment Loan.
  • Stolen equipment should be reported to University Police immediately, followed by Classroom Equipment Loan.

Classroom Equipment Loan Responsibilities:

Classroom Equipment Loan will:

  • Evaluate loan requests and inform the user of their approval/denial in a timely manner.
  • Work with the user to schedule appropriate pickup and return times for the equipment.
  • Ensure that equipment is in proper working condition prior to pickup.
  • If needed, evaluate requests for loan extensions and reply in a timely manner.
  • If requested in advance, provide training for loaned equipment upon pickup.
  • Upon verification of identity, dispense equipment to user.
